POSITION SUMMARY
The Accounts Payable Coordinator is responsible for receiving, processing, and verifying invoices, and processing payments. The Coordinator also provides team leadership and supervisory duties to other Accounts Payable employees. The Accounts Payable Coordinator reports to the Associate Controller.SPECIFIC DUTIES
Responsible for matching, batching, coding, and entering invoices Lead in researching, coordinating, and resolving accounts payable issues with vendors Performs weekly or as needed check runs Reviews aging report to identify invoices due in 30 days, 60 days, and 90 days Performs month-end duties Maintains W-9 files Maintains Vendor Files Processes incoming invoices and vendor correspondence via the accounts payable email Reviews invoices to ensure proper expense coding Reviews A/P batches for proper expense coding Maintains working relationships with other departments & project managers Recruit, train & supervise A/P Clerk Managing the day-to-day activities and delegating tasks to team members Identify areas for automation and process improvement Participates in preparation of annual financial and other audits Assist accountants with journal entry preparation and documentation Serves as backup for other accounting functions Promotes the Vision, Mission, and Values of the Organization Perform other duties as assignedMINIMUM REQUIREMENTS
High school diploma or GED, Bachelors Degree preferred At least 5 years experience in an Accounting or Finance setting required Proficient in use of Microsoft Office, standard office equipment, 10-key, type at least 35 wpm, and perform filing Valid California Driver's license, proof of insurance, and personal transportation One year of Federally Qualified Health Center or similar experience is preferred Experience with computerized accounting and medical or dental billing systems preferred Knowledge of clinic operations is preferredKNOWLEDGE, SKILLS AND ABILITIES
Knowledge of general accounting practices, including journal entry preparation Knowledge of healthcare accounting and finance is preferred Knowledge of computer accounting software Ability to examine documents for accuracy and completeness Ability to prepare records in accordance with detailed instructions Ability to prioritize work, meet deadlines, and produce quality results on time with attention to detail Ability to work independently, with minimal guidance Ability to work effectively with coworkers Ability to communicate effectively and clearly Ability to manage a team to achieve targets Ability to provide excellent customer service that is reflective of a culture that values trust and respectTYPICAL PHYSICAL DEMANDS
Nature of work requires an ability to operate standard business office equipment. Requires ability to communicate and exchange information; collect, compile, and prepare work documents; and set up and maintain work files. Must be able to lift to 45 pounds, retrieve and place materials on high shelves and on floor-level shelves, standing, walking, carrying, grasping, hearing, seeing, sitting, kneeling, climbing, balances, stooping, crouching, and reaching.TYPICAL WORKING CONDITIONS
Work is performed in an office environment within a clinic setting. Involves frequent contact with staff and the public. Work may be stressful at times. Contact may involve dealing with upset people.
