Job Description

Operations and Finance Coordinator Chicago Free School Chicago, IL 60615 • Hybrid work Operations and Finance Coordinator At Chicago Free School (CFS), we believe in empowering students to take ownership of their learning. In our school, learning is hands-on, joyful, and connected to the wider world. The student is at the center of everything we do and our curriculum is driven by student choice, initiative, and inquiry. The school is now accepting applications for Operations and Finance Coordinator. The Operations and Finance Coordinator works in concert with the teachers and the board to carry out the operational and administrative duties that keep the school running, including bookkeeping, billing, and communication with families. The ideal candidate is an efficient and effective self-starter and a leader who is able to work with significant autonomy. The candidate will demonstrate the ability to develop, implement and maintain the operational and financial procedures of the school. The ideal candidate will work in close cooperation, under a consensus-based decision-making model, with teachers, other staff, and members of the Board of Directors. The candidate will ensure that legal and policy requirements are maintained and will manage school resources strategically, and will carry out the administrative duties of the school with integrity, sensitivity, and professionalism to build trusting relationships with staff and families.
Qualifications Minimum Experience:
Three years of professional experience in non-profit administration, bookkeeping, payroll, HR, and/or office management. One year of experience of professional experience in a role with limited direct supervision. Skilled in using office technology and software (e.g. Google Suite, Microsoft Office, etc.) for analysis, team decision-making, and communication. Skilled in collaborative decision-making and communication with multiple folks of diverse backgrounds. Experience with accounting, payroll, and/or relationship management software such as Quickbooks, TADS or similar.
Preferred Experience:
Work or volunteer experience in student-centered education within a social justice framework. Experience in the creation of organizational budgets, and the analysis and measurement of actual performance versus budget. Experience with payroll and HR-related issues. Experience working with external auditors. Knowledge of and commitment to democratic governance processes. Description of Key Duties Financial Management Perform daily bookkeeping and financial tasks, including payroll processing, expense management, bill payment, invoicing, past due account collections, and preparing physical and electronic deposits. Develop, implement, and document financial and operational systems to improve efficiency. Monitor all financial activity for budget and policy compliance. Work with staff and Board of Directors to resolve issues. Lead the annual budget development and approval process, in collaboration with the Board Treasurer and Finance Committee. Generate and deliver administrative and financial reports as needed by staff or the Board of Directors. Family Relationship Management Serve as the primary point of contact for students' families with regard to administrative matters. Manage enrollment process for all admitted and returning students (including assisting families with enrollment contract terms, billing, financial assistance, state health documentation, etc.) to ensure stable school revenue. Manage CFS's enrollment and tuition platform and work with the third-party vendor to maintain and update system as needed. Organizational Leadership Work directly with the staff and Board of Directors to ensure CFS operates within an effective system of administration and financial management and control. Actively promote the values and principles of CFS; act as a positive role model to all members of the school community. Support board and committee activities with logistics, information access, and reporting as needed. Compliance Track and coordinate all external compliance reporting requirements, including ISBE, tax and audit, state and local registrations, and insurance. Work with the Board of Directors and/or the staff to address any non-compliance issues, improve policies & processes, as needed. Provide documentation and financial reports to external auditors as part of the annual nonprofit audit process.
Physical Requirements:
Use a computer for the majority of a workday in a stationary position to accomplish Job Duties listed above. Communicate frequently via email, phone and audio/video conferencing. Operate office equipment such as copier, printer, filing cabinets. Occasionally lift objects up to 30 pounds.
Time Requirements:
This is a full-time, salaried, exempt position. This is a hybrid position and can be performed from home part of the time. This position requires in-person hours at least three days per week, in- person attendance at weekly staff meetings, and in-person attendance at monthly evening board meetings. Occasional additional after-hours, evening, and weekend hours will be required for meetings and events.

Salary:
