Position Summary The Accounts Payable and Payroll Specialist will manage the organization's accounts payable and payroll. Reporting to the Financial Analyst, the role will process vendor invoices, reconcile accounts, process weekly payroll, and support the team with financial operations. Main Responsibilities Accounts Payable Review invoices prior to processing to ensure they comply with company organizational policies and are approved for payment. Maintain invoice copies, purchase orders and approvals Accurately process vendor invoices, ensuring compliance with company policies and procedures. Manage AP workflow by developing and maintaining Excel spreadsheets Prepare and process payment runs (e.g., checks, wire transfers, ACH) Monitor accounts to ensure payments are up-to-date and within terms. Reconcile accounts payable transactions and resolve discrepancies promptly. Payroll Administration Process and review weekly electronic records, allocation of overtime, adjustments for salaried employees, holiday pay, and all related payroll transaction records to assign to their perspective department/cost center and job codes. Review timesheets and verify accuracy Respond to payroll-related inquiries Reconciling payroll sub-ledger to the general ledger Remitting payroll taxes and government reporting Preparing monthly, quarterly and year-end payroll statements Gather/update payroll data for annual EEO-1 report preparation Other duties as needed Qualifications Bachelor's degree in accounting or finance preferred; high school degree or equivalent with either QuickBooks certification or associate's degree required. 3+ years' experience managing accounts payable and payroll (ADP Workforce Now) in a multi-state environment Strong proficiency with ADP payroll processing Strong proficiency in accounting software (QuickBooks or other) Proficient in Microsoft Excel and other Office Suite tools. Strong analytical and problem-solving abilities. Excellent communication and interpersonal skills. Working knowledge of relevant legal regulation
