A Brief Overview The Research and Clinical Services Specialist is independently responsible for all aspects of processing research requests, special research projects, recruitment and scheduling of donors, setup and maintain Clinical Trials, inform customer of all available products and services and route to the appropriate department, maintain and grow genetic sequencing donor program and deferred donor program. Independently execute special clinical donation orders including autologous donor, directed donor, therapeutic donor, granulocyte donor, allogeneic donor, HLA-matched and RBC phenotype-matched products. Ensure appropriate paperwork, order labels, donor assessment, recruitment, order fulfillment, and contract agreements are in place while providing and maintaining the highest level of customer service. Consult with Research and Clinical Services Manager as needed. Locations Stanford Blood Center What you will do Process research orders from various partners, SBC departments, Stanford University labs, independent biotech labs, and hospitals. Work independently to complete appropriate paperwork and coordinate research donations, research by-products, and special requirements on custom orders. Independently identify search criteria for recruitment of research donors and donors who fit criteria in use of by-products with specific demographic and testing requirements while using center and mobile schedules to get the quickest turnaround time on orders. Use the research database to generate custom orders for the consignment specialist and Collections team. Utilize HemaConnect, Safetrace, Hemasphere, Mobile Calendar and other databases as needed to create orders and schedule research donations. Use CRM to maintain customer accounts. Handle special clinical donations from various partners, SBC departments, hospital customers, physicians' offices and respond to external blood centers partners as needed to execute Directed donor donations, Autologous donor donations, Granulocyte donor donations, Therapeutic phlebotomy requests, platelet requests, and converting Allogeneic donor program. Produce appropriate order labels and logs using excellent attention to detail and maximizing donor and product availability. Notify affected departments and research customers as needed. Seek medical direction as needed. Consult with RCS manager when needed. Monitor closely with RCS Consignment Specialist, Collections, Components and Distribution laboratory and Recruitment to correct any issues or assess availability and quickly substitute alternate donor or product fitting the criteria required. Consult with customer when issues or possible substitutes can be arranged. Ensure proper research agreement for services are obtained, customer accounts are created and clients are presented with full range of products and services SBC can supply and support through RCS department. Guide both research and clinical customers to departments that can offer technical support, products or services in a quick and timely manner. Consult with other department managers as needed to ensure handoff is complete. Maintain and promote the Genetic Sequencing program, Deferred Donor program, Clinical Trials, Special Collections projects, and donor tracking. Maintain CITI certification for research consenting and protection of donor PHI. Create custom recruitment tactics, plan and reports based on the timeline of each project. Be strategic on donor selection and schedule. Independently identify search criteria for recruitment of donors for special clinical donations and recruit for specific orders and needs identifying proper donors. Determine initial eligibility while ensuring proper consents are obtained. Identify when to initiate consent for autologous donations and storage of pregnant patient donations. Execute special requests as needed, requests to freeze RBC and create call sheet for granulocyte donation schedule. Create appropriate communications following strict SOP and form instructions using HemaConnect, Safetrace, Excel lists and other databases needed to identify and recruit clinical donation donors. Prepare appropriate paperwork for all departments using meticulous attention to detail and schedule. Communicate with associated departments, hospitals, physicians and co-workers as needed. Request medical direction when appropriate. Consult with RCS Manager as needed. Maintain and prepare donor recruitment lists noting schedule and collections execution are performed adequately and on time. Work closely with Collections and Distribution to ensure all paperwork and needs are in place for successful donation and shipment of product. All RCS team members will be expected to backup up RCS Consignment Specialist as needed or assigned by RCS Manager to consign products and work the Consignment window when scheduled. Communicate professionally and clearly using CI-Care standards with both internal and external customers. Comply with governmental regulations and Stanford Health Care and Blood Center policies regarding health and safety. Observe and support good health and safety practices. Strictly observe privacy and security related policies, procedures and practices to preserve the integrity and confidentiality of medical and other sensitive information pertaining to donors, patients, research subjects, and employees. Act as a responsible information steward and treats information as sensitive and confidential in accordance with federal and state laws and with professional ethics, accreditation standards and legal requirements. Do not disclose protected health information inappropriately. May be required to enter areas where other individuals work with human blood; potential may exist for unanticipated exposure to bloodborne pathogens by splash or spill. Education Qualifications High School Diploma or GED Required college degree Preferred Experience Qualifications direct customer service experience Required three years of blood banking experience Preferred Required Knowledge, Skills and Abilities Must have working knowledge of Microsoft Word and Excel, tracking software, specifically HemaConnect, Safetrace, Hemasphere, and database management. Knowledge of blood components and blood banking capabilities and strong trouble shooting experience; strong phone and email communication skills; strong direct internal and external customer experience communication; ability to schedule and map out research collections and appointments; ability to recruit and schedule research and clinical donors and create and report on multiple orders and special projects.
