8:00:00 PURPOSE The Operations Specialist organizes and coordinates office administration and procedures in order to ensure effectiveness, efficiency, and operations. Liaises with the Director of Operations to support school operations by providing comprehensive daily administrative support, project and event management, and communications.
JOB QUALIFICAITONS
High school diploma or equivalent required; Associates Degree preferred Minimum 3 years of administrative support experience in a school setting preferred

JOB RESPONSIBILITIES
Reasonable accommodations may be made to enable individuals with disabilities to perform the following essential functions: Research and direct special projects for the school Manage and organize school events, including School Board meetings, retreats, staff parties, assemblies, celebrations, and other events Ensure that an evaluation of school events is conducted shortly after the completion of each event, and an action plan is developed based on feedback Responsible for making business travel arrangements for PHCSE staff, including flights, hotels, ground transport, and conference registration Assist admissions department with student enrollment, including but not limited to data entry, processing student applications, and mailing new student packets Collaborate with the Leadership Team regarding school-related service requests; liaise with third party service providers addressing maintenance needs in the school building, including external cleaning, security, electrical, construction, plumbing, motion and fire, access, etc. Partner with the educational staff and School Principal to coordinate school field trips, from reservations to transportation to meals and snacks Maintain and organize supply inventory for the school and business office: research and source suppliers; ensure products and materials meet PHCSE standards; create requisitions and purchase orders; track and record orders; manage the supply base; communicate costs to Leadership Team Answer telephone calls in a pleasant, informed manner; field and direct incoming phone calls to appropriate staff members Coordinate with the Director of Operations to ensure that the visitor management system is operational at all times. Receive guests for school special events as needed. Ensure the efficient operation of standard office equipment to include copiers, postage machines, and other equipment; manage service calls and communicate with staff when equipment is malfunctioning; troubleshoot minor problems with office equipment, such as paper jams and changing ink cartridges. Attend meetings as needed, including staff meetings and departmental meetings. Maintain and establish appropriate networks with the wider charter school community and Penn Hills Community in order to strengthen and develop partnerships with suppliers, supporters, families, and donors Prepare, edit, prioritize, and proofread documents of varying sensitivity for the Leadership Team and staff. Provide editorial review of all public communications Assist PHCSE staff with conference and professional development registrations Valid PA Driver's license required in order to run errands to include, but not limited to, the bank, post office, retail establishments, vendors, and between School locations to deliver mail and other documents Other duties as assigned
WORKING CONDITIONS
Work is primarily sedentary in nature, exerting up to 10 lbs of force occasionally and/or up to a negligible amount of force frequently to lift, carry, push, pull, or otherwise move objects. Frequent handling, reaching, fingering. Vision abilities required by this job include close vision. Must be able to talk and hear. Primarily assigned to an office environment that is climate and noise controlled with adequate lighting, using standard office equipment such as computers, phones, printers.
