Role:
FaciliServ is seeking a highly organized and detail-oriented National Scheduling Coordinator to join our dynamic team. In this role, you will play a critical part in scheduling inspectors for jobs, managing the billing process, and supporting the sales, estimation and operation teams. This position requires excellent executive functioning and organizational skills, attention to detail, dynamic personality, exceptional phone skills and the ability to thrive in a fast-paced environment.

Key Responsibilities:
  • Coordinate and schedule inspectors and technicians for jobs, ensuring optimal efficiency and timely service delivery.
  • Contact new and existing clients via phone, email, text and other media to offer and schedule federally required inspections.
  • Communicate job assignments and schedules clearly to inspectors, technicians and relevant stakeholders.
  • Manage and process billing for completed inspections, maintaining accuracy and timeliness.
  • Maintain and update scheduling and billing records in company systems.
  • Serve as the primary point of contact for the scheduling department-related inquiries and adjustments.
  • Collaborate with internal teams to ensure seamless operations and customer satisfaction.
  • Monitor and troubleshoot inspector and technician work issues, scheduling and/or routing conflicts, billing discrepancies, and resolving issues proactively.
  • Maintain and exceed weekly and monthly inspection department goals
Qualifications:
  • Proven experience in scheduling, coordination, and administrative roles, preferably in a service or inspection-based industry.
  • Strong organizational and time-management skills, with the ability to manage multiple tasks effectively.
  • Excellent communication skills, both written and verbal.
  • Detail-oriented with a high degree of accuracy in billing and record-keeping.
  • Proficiency in Microsoft Office Suite (Word, Excel, Access) database CRM and scheduling or billing software.
  • Ability to work independently and as part of a team in a fast-paced environment.
  • High school diploma or equivalent required; additional education or certifications are a plus.

            Schedule:
              Full-Time Hours:
              Primarily Monday to Friday 7:00 AM till 4:00 pm with 1 hour lunch. Weekly overtime as needed based on schedule and billing statuses.
