In this role, you will coordinate all administrative duties and office procedures, ensuring the workplace operates smoothly and efficiently. Our operation provides services to youth in the Texas Foster Care system who reside in our general residential operation program. Your responsibilities will include scheduling meetings, paying invoices, negotiating with vendors, and maintaining office equipment. Additionally, you will responsible for coordinating the medical appointments for residents and managing all resident medication. The ideal candidate is highly organized with excellent verbal and written communication skills, able to work independently, is comfortable in a fast paced environment, works well with others, and the ability to implement systems and procedures. You will be working closely with our contactors, representatives from the Department of Family and Protective Services, Children's Protective Services Caseworkers, medical/dental providers, and pharmacy representatives. Responsibilities Maintain calendar of appointments and meetings Design the office layout with efficiency and organization in mind Collaborate with human resources to create, update, and maintain office procedures Maintain office equipment in good working order with the assistance of the IT department Pay and record invoices Schedule medical appointments Account for resident medication Accurately maintain general office budget Qualifications High school diploma/GED required, some college preferred Bachelor's Degree preferred Knowledge of psychotropic medication preferred Previous experience as an Office Manager or similar position preferred Understanding of office equipment, systems, and procedures Skilled in Microsoft Office, Excel, and Outlook Excellent time management skills and ability to prioritize multiple tasks Strong problem-solving skills and attention to detail Excellent verbal and written communication skills
