Are you ready to be at the heart of a brand-new office in Nashville? We are looking for a highly motivated Operations Specialist to take the lead in establishing and managing our local operations. In this dynamic role, you will partake in a variety of essential functions, including accounting, purchasing, and sales support, ensuring the seamless day-to-day operation of our office.
Job Summary:
As a key team member, you will be responsible for office administration, managing communication, maintaining office equipment, and providing outstanding customer service—all while supporting our global finance team based in Germany. Your attention to detail, problem-solving skills, and ability to thrive in a fast-paced environment will be crucial to our success. Key Responsibilities:
Financial & Accounting Support:
Manage customer invoicing and allocate incoming payments accurately. Process expenses to the appropriate cost accounts. Maintain and update master data for debtors and creditors. Perform account reconciliation, investigating and resolving any discrepancies. Handle supplier correspondence and verify supplier invoices for accuracy.
Procurement & Inventory Management:
Obtain and compare supplier quotes to ensure cost efficiency. Purchase materials and oversee inventory master data maintenance. Accurately record and process incoming materials in the system. Work closely with sales teams to manage inventory levels and ensure timely order placement.
Order & Logistics Coordination:
Enter customer sales orders and generate purchase orders accordingly. Oversee the entire logistics function, including creating delivery documents for domestic and international shipments. Coordinate import and inland shipping with logistics partners. Track and follow up on inbound and outbound shipments to ensure timely delivery.
Customer & Supplier Relations:
Communicate with customers regarding orders, shipments, and receivables as needed. Handle customer complaints and resolution processes. Support the preparation of quotations and pricing documents.
Qualifications:

  • Experience in handling administrative functions, coordinating office activities, and maintaining operational efficiency. Technical Proficiency & Systems Management
  • Comfortable managing office equipment, software tools, and operational systems to streamline workflows. Detail-Oriented & Highly Organized
  • Strong attention to detail with the ability to track, manage, and process multiple tasks with accuracy and efficiency. Self-Sufficient & Proactive
  • A motivated self-starter who takes initiative, solves problems independently, and makes sound decisions in a fast-paced environment. Time Management & Prioritization
  • Skilled at balancing multiple priorities, meeting deadlines, and adjusting to shifting business needs effectively.
Must be able to bend, stand or sit for long periods. May be required to lift, push, or pull 50 lbs or more.
Compensation & Benefits:
Competitive salary of $27-32/hour based upon experience.
