POSITION SUMMARY
The Accounting Representative is responsible for supporting the company's accounts receivable and administrative functions. This role ensures the accurate processing of invoices, credits, and vendor bills while maintaining organized records and providing administrative support for operational efficiency. The Accounting Representative works closely with the Accounting Manager, other departments, and external vendors to meet financial and operational goals.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Review and manage technician open purchase orders (POs) weekly for California. Create and process invoices, ensuring accurate breakdowns in QuickBooks. Run and distribute checks for vendor payments. Issue and process credit requests. File documents and maintain organized financial records. Manage tool accounts for technicians. Handle Certificate of Insurance (COI) and W-9 requests from vendors and customers. Respond to emails related to AR tasks in a timely and professional manner. Purchase and maintain office supplies. Process vendor bills and review statements for accuracy. Manage internal purchase order (PO) requests and handle hard copy POs. Address and resolve inquiries related to vendor statements and customer requests. Assist with tasks assigned by management, including special projects or one-off requests. Participate in construction team projects and meetings to ensure AR needs are met. Handle overhead bills and distribute office mail efficiently. Manage insurance and documentation for company vehicles and trucks.
EDUCATION AND/OR EXPERIENCE
High School Diploma or equivalent required. Additional coursework or certification in accounting, finance, or a related field preferred. At least 2 years of experience in accounts receivable, billing, or a similar administrative role. Familiarity with accounting software (e.g., QuickBooks) and Microsoft Office Suite (Excel, Word, Outlook, PowerPoint).
OTHER KNOWLEDGE AND ABILITIES
Strong organizational and time management skills. Attention to detail and accuracy in data entry and recordkeeping. Excellent verbal and written communication skills. Ability to manage multiple tasks and prioritize effectively. Problem-solving skills and the ability to work both independently and collaboratively.
