Position:
The Athletics department at Cal State Fullerton strives to provide an intercollegiate athletics program that is an integral part of the total educational experience at Cal State Fullerton and fits within the overall mission of the University. We seek an exceptional individual to join our team as the Athletics Operations Coordinator (Administrative Support Coordinator II). The ideal candidate in this role should have a positive attitude and an active, energetic mind characterized by highly ethical practices and a commitment to diversity, openness, flexibility, integrity, and kindness. The Athletics Operations Coordinator provides operational support to the Associate Athletic Director, Chief Financial Officer (CFO), and Assistant Athletic Director, Compliance and supports other administrative staff in the Department of Athletics with special projects as needed. Collects data and prepares reports for Athletics CFO and program head coaches. Assists programs with team travel arrangements. Assists in the operation of the Athletics Business Office including accounts receivable and accounts payable. Maintains filing systems and record retention for various support areas within Athletics. Creates and maintains event contracts and department master calendar. Serve as liaison to the Big West Conference regarding sport schedule accuracy and game day officials. Assists in completing National Collegiate Athletic Association (NCAA) compliance reports. Maintains student-athlete rosters in Athletic Recruiting Management System (ARMS)/Compliance Assistant. Serves as backup to the Department Information Technology Coordinator. Serves as campus liaison to various department across campus. Regularly utilizes discretion and independent judgment in handling confidential materials and sensitive situations. Other duties as assigned. Essential Qualifications High School diploma or the equivalent and five years of progressively responsible experience in general office, clerical or secretarial work or the equivalent. Comprehensive and detailed knowledge of applicable university infrastructure, policies, and procedures. Thorough mastery of English grammar, punctuation, and spelling. Expertise in using office software packages, technology, and systems. Ability to independently handle multiple work unit priorities and projects. Ability to independently interpret and apply policies and procedures and use judgment and discretion to act when precedents do not exist. Ability to troubleshoot most office administration problems and respond to all inquiries and requests related to work area. Ability to understand problems from a broad perspective and anticipate the impact of office administration problems and solutions on other areas. Ability to analyze operational and procedural problems and develop, recommend, and evaluate proposed solutions. Ability to perform business math, analyze budgetary data, and make accurate projections requiring some inference. Ability to effectively write and present own reports. Ability to effectively handle interpersonal interactions at all levels including highly sensitive interpersonal situations. Ability to use negotiation and persuasion skills to achieve results and expedite projects. A background check (including a criminal records check) must be completed satisfactorily and is required for employment. CSU will make a conditional offer of employment, which may be rescinded if the background check reveals disqualifying information, and/or it is discovered that the candidate knowingly withheld or falsified information. Failure to complete the background check satisfactorily may affect the continued employment of a current CSU employee who was conditionally offered the position. Preferred Qualifications Bachelor's degree from an accredited four-year college or university. Front line customer service experience. Familiarity with a campus environment and a fast-paced work environment. Experience handling confidential materials. Interest in, or experience in, intercollegiate athletics. License/Certifications A valid California driver's license.
