Job Overview The Client Fee Arrangement Coordinator will be a member of the Innovation and Value Department, facilitating the prompt and accurate setup, update, and management of billing rates and fee arrangements in the Firms financial system to ensure that bills are issued promptly and accurately. The Client Fee Arrangement Coordinator regularly collaborates with other members of the Department and works closely with attorneys, professional assistants and the firm's administrative departments, including members of the billing team in Finance and the new client intake team in Risk Management. The Client Fee Arrangement Coordinator may be called upon to assist other Innovation and Value teams on various projects. This role has a remote working arrangement with occasional requirement to report to our Philadelphia or Dallas office. In this role, you will report to the Client Pricing Operations Manager. Essential Functions Collaborate with other Fee Arrangement coordinators to monitor the Pricing Approvals request queue by promptly responding to incoming requests and/or routing requests to the appropriate team member. Create and maintain client fee arrangement documentation for clients and matters ensuring the documentation is communicated to relevant parties. Serve as a firm resource regarding agreed fee and rate arrangements for the firm's clients. Provide recommendations and implement best practices in regard to bill rate management. Responsible for the accurate setup and maintenance of non-standard fee arrangements, including client rates, volume discount structures, alternate fee arrangements and contingency arrangements, escalating and raising issues as necessary. Review New Business Intake requests and supporting material for fee arrangement implementation and maintenance, communicating, and clarifying with key stakeholders and internal teams regarding any discrepancies. Create and maintain phase, task, and activity code groups ensuring setup meets internal and external reporting need. Support the Annual Firmwide Fee Arrangement Review campaign. Collaborate with the billing team and attorneys on rate-related and arrangement requests. Continually look for ways to improve the current rate structure and exception management. Promptly escalate and propose resolutions for potential billing issues, keeping members of the Keep the Billing and Pricing teams informed. Perform other duties as assigned. Work additional hours as needed to fulfill job requirements. Skills/Qualifications 5+ years of experience, preferably in a law firm with a familiarity with fee arrangements, rates, billing, and pricing. Strong understanding of 3E and or Elite Enterprise billing software applications. Understanding of law firm billing processes preferred. Outstanding client service skills and responsiveness. Strong organizational skills and attention to detail. Strong communicator and problem solver. Ability to interact with all levels within the law firm, employing a high degree of tact, diplomacy, and professionalism. Ability to maintain strict confidentiality. Ability to prioritize, juggle multiple tasks, and work efficiently and effectively in a fast-paced environment. Demonstration of a high sense of urgency, work ethic and commitment to the role. Team-orientation and ability to collaborate with others, as well as work independently. Meticulous attention to detail and accuracy is extremely critical. Demonstrated energetic and enthusiastic team player.
