This is a full-time, interim, hybrid-remote role offering the chance to support an organization advocating for statewide education opportunities! The ideal candidate will have strong experience in office operations, preferably within a nonprofit environment. They will demonstrate proficiency with QuickBooks, Bill.com, and Microsoft Office 365, as well as a strong ability to manage technology systems, facilities, and vendor relationships. RESPONSIBILITIES
Accounting and Financial Administration Process vendor invoices, ensuring accurate coding of expenses using QuickBooks and Bill.com. Track payments to contractors, record grants and contracts, and manage vendor documentation (e.g., W-9s). Coordinate grant disbursements and collaborate with the accountant on financial procedures and audits. Maintain accurate records of financial transactions for audit and management purposes. Facilities and Technology Management Oversee office facilities, troubleshoot issues, and ensure operational readiness, including equipment and furniture maintenance. Manage leases, develop emergency plans, and maintain clean, organized storage areas. Coordinate IT services with external vendors, support staff with technology needs, and ensure systems are up to date. Evaluate and implement operational systems (e.g., email, calendar, file sharing) and research new tools as needed. Maintain asset records and oversee technology setup for events and programs. Operations and Administrative Support Handle mail, manage office supplies, and maintain the organization's calendar. Collect and file staff timesheets and assist with planning retreats, events, and celebrations. Serve as the primary point of contact for general inquiries by phone and email. Prepare reports for board meetings and provide general support for organizational events.
QUALIFICATIONS 4-5
years of office management experience, preferably in a nonprofit setting. Proficiency with QuickBooks, Bill.com, and Microsoft Office 365. Familiarity with technology systems and facilities management. Strong multitasking, organizational, and prioritization skills with a responsive and collaborative approach to staff needs.
COMPENSATION AND BENEFITS
This interim, hybrid opportunity offers an hourly range of $41-45/hr. In addition, this role offers medical, dental, vision, and voluntary life insurance, an employee assistance plan (EAP), and commuter and transit benefits for those who are working on average 30 or more hours per week. An employee retirement plan is also available.
