Purpose:
This position is responsible to compute, classify, record and post data for use in maintaining accounts payable, and general ledger records, which are necessary to assure the financial health and stability of Guild Incorporated. The role of accounting and finance is to assure the efficient and ethical use of all resources received to fulfill the organization's mission of helping individuals with mental illness lead quality lives; monitor and assure compliance with business and financial laws, regulations and guidelines; and report financial results of operations for quality management of services and transparency.
Key Responsibilities:
Duties and Responsibilities:
Maintain accounts payable records to ensure timely payment of debts. Collect invoices from staff, verify totals and appropriate authorization. Code invoices accordingly. Prepare cash disbursement journals for invoices paid electronically. Monitor vendor account balances and resolve invoice discrepancies. Prepare checks for mailing and file paid invoices. Prepare EFT batches for client rent and vendor payments and send out email confirmations for rent paid when requested. Maintain EFT forms file and update authorized EFT landlord listing as necessary. Effectively present information in one-on-one and small group situations to clients, vendors, and other employees of the organization. Provide back-up coverage for the administration of accounts receivables and for accurate application of cash received according to department procedures. Year-end 1099 processing and filing. Provide support during audit such as pulling expense support as requested. Provide back-up coverage for other accounting activities. Promote an inclusive, diverse, culturally competent, and respectful work environment.
Required Skills/Abilities:
Efficiently handle mathematical calculations and focus on financial details. Understand and interpret basic instructions, short correspondence, and memos. Proficient in Excel spreadsheets and accounting software. Analyze complex activities and self-assess work completed to ensure accuracy and correct mistakes if needed. Maintain confidential information.
Education and Experience:
Post high school training or coursework in accounting and a minimum of two year's experience in use of accounting software and working knowledge of Excel spreadsheets. Experience working with public financial assistance programs and non-profit accounting is desirable.
Additional Requirements:
Must not be actively receiving services from Guild and must not have received services within the last two years.
