Pay Grade:
Assistant 6 This position will provide administrative support and assist in operational activities for the Health Science Non- Degree Programs. Responsibilities and Duties (•Essential Functions) To perform this job successfully, an individual must be able to perform the essential job functions satisfactorily. Reasonable accommodations may be made to enable individuals with disabilities to perform the primary job functions herein described Builds and edits sections in the student information system, Colleague, for all Health Sciences Non-Degree Allied Health courses Enters all Health Sciences Non-Degree Allied Health faculty contracts and amendments Processes, monitors, and maintains withdrawals, refunds and transfers and confirms student information in a timely manner Prepares monthly payroll for all Health Sciences Non-Degree Allied Health instructors Processes class cancellations, end of class paperwork, verifying the accuracy of student grades and attendance, and enters grades in accordance with Continuing Education Registrar's deadlines Processes and verifies all class documentation in the course file for internal audit Orders supplies and equipment through E-Pro or Form 58, expenditure requests, and maintains inventory Answers phone calls/emails, refers calls/emails, takes messages, and provides appropriate information Processes and tracks travel authorizations Represents Health Science Non-Degree Allied Health at job fairs, open houses, and other recruiting events, as needed Checks Castlebranch for student completion of mandatory paperwork completion, as needed Resolves any student balances Registers underage and other students Tracks student sponsorship information and payment received Reviews class rosters for registrations and adjusts caps of classes as needed Serves as the primary point of contact regarding time reports and the verification of student hours for the Registrar Runs other reports as requested by the Director Submits Blackboard requests for the Health Sciences Non-Degree staff for all new sections Runs the Course Activity Report in Blackboard for all sections as requested by the Auditor Works closely with the Director, other staff, and instructors to ensure effective communication within the department
Qualifications Knowledge, Skills & Abilities:
Ability to type 40 words per minute Intermediate skills with MS Office products Excellent written and verbal communication skills Ability to exhibit good interpersonal skills and work well with others Ability to maintain records accurately and be able to meet deadlines consistently Demonstrates good organizational skills Ability to perform normal duties with minimal supervision
Requirements:
High School diploma or equivalent Five years work experience in a clerical position
Preferences:
