Provides operations support to our entire network by following broker-dealer and regulatory rules, guidelines and procedures. If in an unregistered/unlicensed capacity, this position will rely on guidance from the Operations Manager for guidance relating to job responsibilities that are regulated by FINRA, SEC and State Department of Securities and State Department of Insurance as needed.
Essential Responsibilities:
Answer multi-line telephone system, take accurate messages, and transfer telephone calls to the appropriate person efficiently and professionally; Greet and screen incoming visitors in a professional manner, and promptly notify the appropriate person of their arrival; When a general visitor, or when an Sales Support Associate is not available, offer the visitor a beverage. Provide support for kitchen maintenance as follows: On a rotating schedule, unload the dishwasher in the morning by restocking both kitchen & kitchenette; alert when coffee machine supplies are low; fill coffee machine water tanks; perform the cleaning functions when needed. Open and distribute incoming mail, including receiving and signing for packages; Prepare outgoing mail using postage meter; and may take downstairs to the mailbox; Order office supplies and maintain an adequate office supply inventory; Support document retention requirements; Support back-office duties Support tracking and report requirements; As a back-up, report office maintenance issues (lighting, heat/air, shredding, etc.); Support transitioning of new hires: this includes duties associated with pre-onboarding and post on-boarding needs and happens sporadically as new people are hired. Perform any other duties as assigned. Expected to operate standard office equipment including: multi-line telephone system, postage meter, computer/printer, photocopy machine and scanner, & calculator Training & instruction will be provided to you for each specific type of duty and responsibility.
Additional requirements:
Be willing and able to work a flexible schedule within the hours of 8:30am - 5:00pm daily. Degree:
High School Diploma or Equivalent Experience:
Some experience in the financial services industry is highly preferred. Prior experience performing specific functions of this position is preferred however non-industry related qualifications may be considered to be satisfactory. Licensed and registered with FINRA is a requirement for performing higher levels of responsibilities.
