Job Description

Bilingual Medical Biller and Collections Specialist Mosaic Mental Health, PLLC Katy, TX 77494 We are a growing boutique private outpatient psychiatry practice seeking an experienced Medical Biller and Collections Specialist to join our team full-time on-site (in-office). In this role, you will be a key player in our revenue cycle, ensuring that patient billing is handled accurately and that payments are collected in a timely manner. You will work closely with our supportive mental health team to manage insurance claims and patient balances, helping to maintain the financial health of the practice so our providers can focus on patient care. The ideal candidate has at least 2 years of medical billing and collections experience in a healthcare setting and demonstrates excellent attention to detail, problem-solving abilities, and professional communication skills. Key Responsibilities Patient Payments:
Collect and process patient payments, including copays, coinsurance, and outstanding balances, at the time of service and via billing statements. Provide clear, professional communication to patients regarding their financial responsibilities and set up payment arrangements as needed.
Claims Preparation & Submission:
Prepare and submit clean claims to insurance companies (electronically through our EHR or clearinghouse) and send invoices to patients. Ensure each claim is complete, accurate, and compliant - verifying that correct patient information, provider details, and billing codes are included for timely reimbursement. This includes entering all patient visits and charges into the EHR with 100% accuracy and proper coding before submission.
Payment Posting & Reconciliation:
Post payments and adjustments from insurance Explanation of Benefits (EOBs) and patient payments into the system. Reconcile claims by confirming that payments received match expected amounts and address any discrepancies promptly. This involves double-checking data for accuracy and ensuring our records align with insurer payments and contractual adjustments.
Denied & Rejected Claims Management:
Monitor and work on denied or rejected insurance claims on a daily basis. Research the reason for denials (using EOB codes and insurer portals like Availity), then correct claim errors or gather additional information as needed. Resubmit or appeal denied claims in a timely manner to maximize reimbursement. Follow up persistently with insurance companies until issues are resolved and payments are secured.
Billing Issue Resolution:
Proactively identify and resolve any billing or payment issues that arise. This includes addressing patient billing inquiries or disputes and working with patients on resolving past-due accounts in a compassionate yet firm manner. It also involves coordinating with clinical staff if clarification is needed on services or documentation to resolve billing discrepancies. Ensure all payment issues are handled promptly to keep accounts receivable current and accurate.
Records Maintenance & Compliance:
Maintain organized and up-to-date billing records and patient account information in the EHR. Protect patient privacy by following HIPAA guidelines and practice confidentiality policies at all times. Ensure billing practices comply with relevant healthcare regulations and payer requirements. Document all billing activities, follow-ups, and outcomes clearly for reference and auditing purposes.
Required Qualifications Experience:
Minimum of 2 years of medical billing and collections experience in a healthcare setting is required. Experience in an outpatient clinic or mental health/behavioral health setting is a plus, but not required, as long as you have a strong foundation in medical billing processes.
Education:
A high school diploma or equivalent is required. Additional training or certification in medical billing/coding or healthcare administration is an advantage. (Certification such as CPC, CPB, or CMRS is a bonus but not mandatory.)
EHR Proficiency:
Proven ability to use Electronic Health Record (EHR) and practice management systems for billing tasks. Experience with an EHR platform with insurance billing/reporting functionality is needed. You should be comfortable navigating EHR workflows to enter charges, run reports, and find information as needed.
Insurance & Billing Knowledge:
Strong working knowledge of the healthcare insurance billing cycle - including verifying coverage, submitting claims, posting payments, and handling denials. Familiarity with insurance portals like Availity for eligibility checks and claim follow-ups is required. Must understand key medical billing concepts (deductibles, copays, coinsurance, authorization, EOB interpretation, etc.) and basic medical coding (ICD-10, CPT) to ensure clean claim submission.
Computer Skills:
Proficiency with common office software is required. This includes Microsoft Excel , Google Workspace (Google Sheets, Docs, Gmail), and other MS Office tools (Word, Outlook). Ability to generate and interpret spreadsheets or reports related to billing and to effectively use email and calendar for communication and scheduling. General tech-savviness and the ability to learn new software or systems quickly is important. Attention to

Meticulous attention to detail is absolutely essential in this role. You must be able to spot errors or inconsistencies in billing data and correct them before claims go out. This skill is critical for ensuring claims are accurate and payments are correct, preventing revenue loss due to mistakes.
Analytical & Critical Thinking:
Strong analytical and critical thinking skills to troubleshoot complex billing problems. The ideal candidate can exercise sound judgment and think critically through each aspect of the claim submission and collection process , identifying the root cause of issues (whether a coding error, system issue, or payer policy) and determining the best course of action. This includes the ability to compose effective appeal letters and follow through on challenging reimbursement issues creatively and persistently.
Communication Skills:
Excellent communication skills, both verbal and written. You must be able to communicate clearly, professionally, and empathetically with patients, insurance representatives, and colleagues. This includes explaining bills to patients in a tactful manner, effectively querying insurance companies about claims, and collaborating with providers or staff regarding billing matters. Being bilingual (English/Spanish) is required.
Organization & Time Management:
Strong organizational skills and the ability to manage time and priorities effectively. You will be handling a volume of claims and patient accounts, so you should be able to keep track of what needs to be done (e.g. which claims are outstanding or need follow-up) and meet deadlines for billing cycles and claim filing. Being able to multi-task while maintaining accuracy is important in our busy practice environment.
Professionalism and Reliability:
A strong sense of professionalism, including reliability and punctuality for an in-office role. We need someone who is trustworthy with sensitive financial and patient information and who can represent the practice positively when dealing with patients and payers. You should be a team player who is willing to assist colleagues and also capable of working independently with minimal supervision once trained.
HIPAA & Compliance:
Knowledge of and adherence to HIPAA privacy rules and other healthcare compliance standards. The candidate must handle all patient information with confidentiality and integrity. Familiarity with billing compliance (such as avoiding fraudulent billing, upholding coding standards, and following insurance billing guidelines) is expected.
Skills and Experience Behavioral Health Billing:
Prior experience in billing for mental health or psychiatry services is highly desirable . Knowledge of behavioral health billing nuances, such as psychotherapy CPT codes, medication management billing, and mental health parity rules etc., will allow you to hit the ground running in our psychiatry practice.
Specific Software Experience:
Hands-on experience with EHR/practice management systems in a previous role is required. Likewise, advanced proficiency with Availity or other insurance clearinghouse/portal systems is a must.
Medical Billing Certification:
Certification as a medical billing specialist or coder (e.g., Certified Professional Biller (CPB) , Certified Medical Reimbursement Specialist (CMRS) , or similar) is a plus. Certification demonstrates a commitment to the field and up-to-date knowledge, although practical experience and skills are equally valued.
Advanced Excel or Reporting Skills:
Ability to create reports or use Excel for analyzing accounts receivable, tracking aging claims, and monitoring key billing metrics can be helpful. Experience creating spreadsheets or using billing software reporting functions to identify trends (like frequent denial reasons or payment turnaround times) is required.
Customer Service Background:
A background that includes customer service or patient-facing communication can be helpful. Dealing with patients regarding bills requires empathy and firmness, so any experience in a role requiring sensitive communication (such as front desk receptionist or customer support) is important.
Problem-Solving Attitude:
A demonstrated track record of proactively resolving billing issues and improving processes is appreciated. If you have ideas for streamlining billing workflows or have spearheaded projects to reduce denials or speed up collections in previous roles, that experience will be valuable in our practice. Work Environment This position is full-time, on-site at our outpatient psychiatry office. You will work in a standard medical office environment — spending much of the day at a computer workstation handling billing tasks, with some interaction at the front desk when collecting payments or discussing accounts with patients. Our office operates as a close-knit team setting, so you will frequently collaborate with the front office staff and psychiatric providers to ensure smooth billing operations (for example, verifying documentation or scheduling follow-ups for insurance matters). While the work can be detail-intensive and require focus, our team is friendly, supportive , and always willing to help each other. The work schedule is typically Monday to Friday, during regular business hours (8am-5pm). No nights or weekend work is required, as we operate during standard clinic hours.
