The Automotive Finance Assistant plays a key role in supporting the Finance & Insurance (F&I) department by assisting with the preparation, processing, and management of all finance-related paperwork and documentation for vehicle sales. The Finance Assistant will work closely with the F&I Manager, sales team, and financial institutions to ensure a smooth and efficient process for securing financing, insurance, and other related products for customers. This position is integral to maintaining compliance with legal regulations and ensuring an exceptional customer experience.Key Responsibilities:
The Finance Assistant has the following responsibilities: Assist in the preparation and completion of all finance-related documents, including credit applications, loan/lease contracts, and insurance forms. Verify customer and vehicle information to ensure accuracy and completeness of all documentation. Assist in filing, organizing, and maintaining digital and physical records of all finance documents in compliance with dealership policies and legal requirements. Assist customers in filling out credit applications, ensuring all information is accurate and complete. Provide guidance to customers on the documentation required for financing, insurance, and extended warranty products. Address basic customer inquiries regarding financing terms, payment options, and insurance products, directing complex questions to the F&I Manager or Finance Director. Coordinate with financial institutions and lenders to submit loan/lease applications and facilitate timely approvals. Assist in the preparation of finance and insurance proposals for customers, ensuring all available options are clearly presented. Help manage communication with third-party insurance providers to facilitate customer insurance needs and product selections. Ensure all finance documents are completed in accordance with dealership procedures and legal requirements. Assist in the preparation of compliance reports for auditing purposes, ensuring adherence to both internal and external regulations (e.g., federal, state, and local laws). Monitor and track finance contracts to ensure timely processing and submission to financial institutions. Follow up with customers regarding required paperwork, signatures, and any outstanding items needed to finalize the financing process. Assist customers in understanding their finance agreements, payment schedules, and related terms. Work with the F&I team to ensure a seamless post-sale process, including vehicle registration, title transfers, and loan/lease documentation. Work closely with the sales team to facilitate the transition from vehicle sale to financing, ensuring that all necessary documentation is obtained. Assist in the communication of financing options to sales staff, ensuring they are well-informed about available products and terms. Maintain organized and secure records of all finance and insurance contracts. Ensure that all customer information is handled confidentially and in compliance with privacy laws. Help ensure all finance paperwork is submitted to relevant departments and lenders in a timely manner.Compensation And Benefits:

The Finance Assistant should have the following skills, education and experience: High school diploma or equivalent required; Associate's degree in Finance, Business, or related field is a plus. At least 1-2 years of experience in an automotive finance, accounting, or administrative role is preferred. Knowledge of automotive finance products, loan/lease processes, and insurance offerings is a plus. Experience with dealership management software (DMS) and finance software is beneficial. Strong attention to detail and accuracy when processing finance documents. Excellent organizational skills and ability to multitask in a fast-paced environment. Effective communication skills, both written and verbal, with the ability to interact professionally with customers, lenders, and team members. Basic knowledge of finance principles, including loan structuring, interest rates, and payment terms. Proficiency in Microsoft Office Suite (Word, Excel, Outlook). Certifications in finance or F&I (e.g., F&I certification from the Association of Finance & Insurance Professionals) are a plus, but not required. Strong customer service orientation with a focus on providing a positive experience. Professional demeanor with strong ethical standards and discretion.
