Accounts Payable and Payroll Specialist 3.1 3.1 out of 5 stars Maple Grove, MN 55369 • Hybrid work ILLUME , a leading designer, manufacturer, and marketer of high-quality branded and private-label home fragrance and personal care products, is seeking an Accounts Payable and Payroll Specialist to join our talented team. The AP/Payroll Specialist is a dual-function role responsible for managing the company's accounts payable processes and biweekly payroll administration. This position ensures the accuracy and efficiency of financial transactions while maintaining compliance with applicable regulations. The role collaborates with internal teams and external vendors to resolve discrepancies, drive process improvements, and support organizational goals. Key Responsibilities Accounts Payable Accurately and efficiently process and manage accounts payable transactions, including inventory and non-inventory invoices. Reconcile vendor statements and resolve discrepancies with vendors or internal departments. Collaborate with the purchasing and receiving departments to ensure accurate and timely invoice matching. Drive issues to resolution and provide input on process improvements. Maintain vendor records and update payment terms as needed. Prepare and execute payment runs (checks, ACH, and wire transfers). Maintain W-9 for all active vendors. Prepare and file 1099s to ensure compliance with IRS guidelines Assist in month-end closing processes, including accruals and account reconciliations. Provide support during audits and respond to inquiries from vendors and internal stakeholders Payroll Accurately and efficiently process biweekly payroll through HRIS (Paychex Flex), r Review and ensure accuracy of timesheets, track and deduct all benefit premiums, garnishments, and other special payroll deductions. Manage and administer the Payroll/HRIS Systems. Research and resolve issues. Set up and maintain payroll, benefit and employee records. Data entry and maintenance for new hires, terminations, promotions, demotions, salary changes, benefit deduction changes, and new tax rates. Maintain confidentiality for all payroll and employee data. Conducts routine audits to ensure accuracy of data. Provide requested ad hoc and scheduled reporting. Complete year end processing and provide audit data including ACA/ERISA/401k benefit reporting, W2 & other tax reporting, updating HRIS systems with annual changes. Assist in system upgrades and implementation of new HRIS/Payroll systems as needed. Reconcile monthly billings from benefit insurance providers. Review billings for accuracy, codes, and advances for payment. Collaborate with Human Resources to resolve discrepancies. Other essential functions Provide administrative and project support to Finance and HR teams. Continually look for ways to improve processes and systems to make them more efficient and effective. Comply with all company policies and procedures.
The ideal candidate will have:
2-4 years accounts payable or general accounting and payroll experience Working knowledge of HRIS/Payroll Systems (Paychex a plus) and accounting software Knowledge of accounts payable and general accounting procedures Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) with demonstrated skills in database management and record keeping. Attention to detail and accuracy Proactive problem-solving skills with the ability to take initiative and exercise independent judgment Ability to meet deadlines Employee-focused with a strong internal customer service orientation Effective interpersonal, oral and written communication skills High level of discretion and confidentiality. The salary range is $27-30/hour. This is the range that we in good faith anticipate relying on when setting wages for this position. We may ultimately pay more or less than the posted range commensurate on the candidates' experience and skills. This salary range may also be modified in the future. Work Environment:
This role operates in a professional office environment where the noise level is moderate. The role requires interfacing with phones, computers, and other office equipment. The employee must be able to work in a highly fragranced environment. Some minimal local travel for outgoing mail drops.
