PM Description:
The Accounts Receivable Administrative Assistant plays a vital role in managing office operations, assisting various departments, and providing administrative support. This position involves managing front desk operations, handling accounts receivable tasks, payroll processing, and supporting human resources functions. The ideal candidate is detail-oriented, organized, proficient in Microsoft Office, and a great communicator. Bilingual candidates are encouraged to apply.
Responsibilities:
Greet and assist walk-in visitors, providing excellent customer service. Answer and direct phone inquiries in a timely manner. Collect and update customer information for quotes, including contact details and project specifics. Assist with marketing and advertising inquiries when needed. Manage employment applications by scanning and forwarding to the correct departments. Order and maintain office supplies to ensure smooth daily operations. Summarize and input billing information into spreadsheets for accurate record-keeping. Assist in enrolling new hires and maintaining employee files. Ensure DOT employee files are up to date, including scheduling annual physicals and obtaining annual driving records.
Requirements:
Proficient in Microsoft Office (Excel preferred). Strong organizational skills and attention to detail. Excellent decision-making, communication, and collaboration abilities. Ability to multitask and work independently. High school diploma or equivalent required. Prior Administrative experience. Bilingual skills are a plus. Strong attention to detail and ability to perform data entry tasks with accuracy.
