Hours of Work:
6am to 4:30pm Mon-Thurs The ideal candidate will have experience with construction work practices and procedures. Have the ability to multitask with the ability to prioritize tasks in a fast-paced environment. Experienced in processing work order requests; have the ability to handle high-volume inquiries and ensuring efficient coordination between internal departments and external agencies. Additionally, have excellent attention to detail and problem-solving abilities. Strong verbal and written communication skills. Maintain accurate records and documentation in work management systems. Interact effectively with employees at all levels and external stakeholders.
INTRODUCTION
Human Resources will screen applications and supplemental questionnaires. Candidates possessing the strongest skills and experience for this position will be forwarded to the hiring department for further evaluation and to determine who will be invited to the formal interview process. The candidate hired will be required to pass a drug screening, background check and may be required to pass a job-related physical evaluation.
GENERAL PURPOSE
Under general supervision, performs specialized administrative support in the initiation and processing of work orders for the maintenance and repair of mains, lines, meters and other District facilities and appurtenances; and performs related duties as assigned.
DESIRED MINIMUM QUALIFICATIONS
Knowledge of:
Office administrative practices and procedures; general types of field maintenance and repair work performed by a water utility; basic trade and construction terminology and work processes; practices and procedures used in work order processing; use of computers in maintaining work-in-progress databases; standard data manipulation and retrieval methods; correct English usage, including spelling, grammar and punctuation; District organization, rules, policies and procedures; recordkeeping, filing and purchasing practices and procedures.
Ability to:
Operate a computer, standard office equipment and a two-way radio; type and perform data entry accurately at a speed necessary to meet the requirements of the position; manage multiple and rapidly changing priorities; organize, set priorities and exercise sound independent judgment within areas of responsibility; interpret a variety of source information from maps, blueprints and drawings; communicate clearly and effectively orally and in writing; prepare clear, accurate and concise records and reports; use courtesy, tact, discretion and diplomacy in dealing with sensitive situations and concerned and/or upset groups and individuals; establish and maintain highly effective working relationships with District managers and supervisors, officials of other governmental agencies, staff and others encountered in the course of work.
DESIRED MINIMUM QUALIFICATIONS
Training and Experience:
A typical way of obtaining the knowledge, skills and abilities outlined above is graduation from high school or G.E.D. equivalent, and three years of increasingly responsible office administrative experience providing familiarity with trade and construction work practices and procedures similar to those performed in the District; or an equivalent combination of training and experience. A Work Scheduling Assistant I may be considered for advancement to Work Scheduling Assistant II after demonstrating proficiency to perform the full range of duties of the latter class. Proficiency criteria and the process for demonstrating performance at the levels established in the criteria are established jointly by hiring authorities and the Director, Human Resources and are described in a separate document. Typically, a Work Scheduling Assistant I is expected to be capable of meeting the proficiency criteria within a 6-month to 24-month period, depending on an individual's prior experience and progression in performing the full range of Work Scheduling Assistant II duties as described in the established performance criteria.
